The WeCann Summit 2025 project was closed just a few weeks in advance, requiring an accelerated, highly coordinated rollout between technology and operations.
The event's original registration lived in the client's database. Our first step was to structure, normalize and import that data into the Credenciall system, guaranteeing consistency for check-in, group control and on-site credential printing.
With the base consolidated, we segmented participants into three operational flows: VIP, Attendee and Exhibitor. This separation enabled specific service and access rules per profile.
At check-in, the self-service totems were dedicated to the general public, while the counter operated with specialized service for VIPs and support for exceptions. The configuration prioritized minimal queue risk: we used more totems than the base scenario required to keep operational slack during peaks.
For pre-approved attendees, the flow was straightforward: identification by ID at the totem, immediate credential printing and entry release. On-site registrations and special demands were handled at the counter, with a dedicated track for VIP service.
On the exhibition front, we delivered lead collection with QR Code scanning at the booths. Exhibitors accessed the Exhibitor Portal with their own credentials (company ID and password) to track scans in real time, in addition to later consolidation of offline operations.
We also activated the event's WebApp as a communication and journey hub: agenda, notices, operational information and mentoring bookings by room and time. With that, room management was able to monitor occupancy and participant flow in each service track.
The result was a unified operation in a single ecosystem: check-in, access, exhibitors, webapp and monitoring centralized, generating a robust final report for reading performance, audience behavior and an executive view of the event.
